Operations Administrative Assistant

The position closes on: March 20th

The Operations Admin Assistant provides administrative and data entry support to the Food Distribution and Community Engagement teams and will report to the Director of Operations. The ideal candidate is a self-starter who enjoys a role that is varied in tasks and responsibilities, while always exhibiting a high level of professionalism.   

Schedule: The position will be 75% in the office and 25% working directly with clients in distribution.  M - W – Th – F from 8:30am – 2:00pm (20hrs Per Week)

    • Data entry

    • Invoicing and reporting

    • Client survey and filing management

    • Cross functional department workflow collaborating

    • Program inventory control and stocking

    • Triage Operations calls and email correspondence

    • Distribute incoming deliveries and mailing support

    • Client intake support 

    • Food distribution support

    • Create project and tasks work plans

    • A high school diploma or a minimum of 2 years similar job experience.  

    • Strong technology skills

    • Salesforce (or similar platform) knowledge 

    • Intermediate to Advanced level skills in SharePoint and Microsoft 365 products   

    • Proficient user of standard office equipment such as multi-line phone, copier, scanner, laptop, laminator. 

    • Excellent relationship building and communication skills with adults and youth from diverse backgrounds 

    • Detail-oriented, team player who consistently takes initiative

    • Strong problem solver 

    • Must be able to remain in a stationary position 50% of the time and occasionally move between office and distribution facilities

    • Will constantly work in outdoor weather conditions 

    • Move food or boxes weighing up to 50 pounds for various distribution or event needs 

    • Ability to multitask and prioritize time in a fast-paced dynamic environment 

    • Must be able to pass a background check 

    • Experience in Non-Profit or Food Distribution 

    • Second language

    • Food Handlers and CPR/First Aid Certification
